This Privacy Policy explains how Docmint collects, uses, and protects your information when using our academic document and publication management platform. This policy is governed by applicable laws of Nepal and is designed for educational institutions, researchers, and organisations.
We collect only the information necessary to provide the Service, including account details (name, email, password hash, organisation affiliation), documents and publications you upload, metadata (authors, supervisors, references, citations, labels, categories), usage data (activity logs, feature interactions, timestamps), and technical data (IP address, device, browser type) for security and system operation.
Documents are processed in secure, isolated environments. Files are encrypted during transit and processing. Uploaded documents are retained only as required for your workflows and are permanently deleted upon user or institutional request or within defined retention periods. We do not use your documents to train AI models without explicit consent.
We use data solely to operate and improve the Service, including enabling submissions, reviews, publications, search, collaboration, and institutional workflows. We also use data for security, abuse prevention, and system reliability. We do not sell or rent personal data.
Some features may rely on carefully selected third-party or AI service providers for processing. These providers are contractually bound to process data only for service delivery, maintain equivalent security standards, and delete data after processing. No document content is retained or reused for external model training.
We use only essential cookies for authentication, session management, and security. Functional cookies may store user preferences. We do not use advertising, tracking, or profiling cookies.
We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, role-based access control, secure authentication, and continuous monitoring. While we take strong precautions, no system is completely secure.
Account data is retained while your account remains active. Documents and outputs are retained based on workspace and institutional settings. Deleted data is permanently removed within defined retention windows. Users may request immediate deletion of their data at any time.
In accordance with applicable laws of Nepal, users may have rights to access, correct, update, or request deletion of their personal data, as well as restrict processing where applicable. When using the Service under an institution, the organisation may manage roles, permissions, workflows, and visibility of publications. The institution acts as the primary controller of academic workflows, while Docmint acts as a service provider processing data on its behalf.
Docmint operates globally. Data may be processed outside Nepal, including in the United States or other jurisdictions. We ensure appropriate safeguards for such transfers in accordance with applicable legal requirements.
Users and institutions retain full ownership of all uploaded content, including drafts and publications. We do not claim ownership of academic work. Users control publication visibility, including internal access and public release. Responsibility for academic integrity, citations, and accuracy remains with users and institutions.
We may update this Privacy Policy from time to time. Significant changes will be communicated via email or platform notification. The latest update date reflects the most recent revision.
